Employee Experience & Event Producer

The Weizmann Institute of Science is seeking an Employee Experience & Events Producer to take an active role in the professional planning, development, and production of Institute events and employee experience, community engagement, and wellbeing initiatives.

The role involves independently managing event production processes from the initial brief through to successful execution, combining creativity, project management, and hands-on operational involvement.

Key Responsibilities

• Plan and produce events from concept to completion, including receiving briefs from internal clients, identifying and analyzing needs, developing tailored solutions, and managing the entire production process.
• Apply creative thinking to develop event concepts and design engaging experiences, while initiating new projects, activities, and innovative ideas tailored to different target audiences.
• Source and select vendors, obtain and evaluate quotations, conduct competitive bidding and negotiations, manage contracts, develop budgets, and monitor vendor performance and contractual commitments.
• Manage ongoing relationships with internal clients, including developing event proposals, coordinating approvals, addressing feedback and requests, and refining plans through final approval.
• Plan and coordinate all logistical and operational aspects of events with internal and external stakeholders, including obtaining necessary security, safety, access, electrical, and infrastructure approvals.
• Oversee on-site event production and execution, including preparations, setup, vendor coordination, supervision, real-time problem-solving, and post-event evaluations.
• Write and edit employee communications, prepare visually appealing communication materials, and coordinate the required approvals prior to distribution.
• Support the department's day-to-day activities, including employee wellbeing initiatives, operational coordination, administrative tasks, and providing responsive service to Institute employees in collaboration with the department team.
